Understanding and Using Sensitivity Labels in Microsoft 365

Introduction

Sensitivity labels in Microsoft 365 are a powerful tool for classifying and protecting your organization's data. They help ensure that sensitive information is handled appropriately and securely, in line with your organization's policies and regulatory requirements.

What Are Sensitivity Labels?

· Digital tags that classify and protect documents, emails, and Teams content.

· Apply encryption, access restrictions, and visual markings (headers, footers, watermarks).

Why Use Them?

· Protect sensitive information from unauthorized access.

· Ensure compliance with company policies and regulations.

· Maintain data security across all platforms.

Our Label Categories

· Public · For unrestricted sharing.

· General · Internal use only.

· Confidential · External · Sensitive content for trusted external parties.

· Confidential · Internal · Sensitive internal content.

· Confidential · View Only · Highly sensitive; view-only access.

· Custom Permissions · Special cases requiring tailored access.

Key Information About These Labels:

· Users will be required to apply labels before they can save documents or send emails (only if these items don't already have a label applied).

· Users will need to provide a justification before removing a label or replacing it with one that has a lower-order number. Higher Label: Stricter, Lower Label: Less Strict.

Inherit label from attachments:

· If an email is labeled and attachments with higher priority labels are added, users can automatically replace the email's label with the highest priority attachment label.

How to Apply a Label

· In Office Apps (Word, Excel, Outlook):

· 1. Open the document or email.

· 2. Go to Home · Sensitivity.

· 3. Select the appropriate label.

· For Files (Windows Explorer):

· 1. Right-click the file.

· 2. Choose Apply Sensitivity Label with Purview.

Best Practices

· Always apply the correct label before sharing.

· Do not remove or downgrade labels without approval.
